Privacy Policy

This policy is provided on an interim basis and may be updated following legal review.
Archive Owl is a service of Schram Studio, Inc., a California corporation, doing business as Archive Owl ("Archive Owl," "we," "us"). This policy explains what information we collect, how we use it, and the choices you have. It applies to archiveowl.com, app.archiveowl.com, and related services (together, the "Service").
We built Archive Owl to preserve the complete record of a home, and we treat that record as yours. In short: we collect what is needed to run the Service, we do not sell your personal information, and your property records are shared only with the people you choose.
1. Information We Collect
Information you provide:
- Account information: name, email address, phone number, and password, or your Google account identifier if you sign in with Google.
- Property records: the content you and your project team add to the Service, such as photographs, videos, 3D scans and tours, point clouds, architectural drawings and models, schedules, specifications, invoices, receipts, permits, manuals, warranties, notes, contacts, and related documents and metadata about a property, its rooms, contents, finishes, and systems.
- Project intake details: information about your property and project provided during onboarding, such as address, project scope, and accuracy requirements.
- Communications: messages you send us, including support requests and quote inquiries.
Information collected automatically:
- Usage and device data: log data such as IP address, browser type, pages viewed, and actions taken in the Service, and standard cookies and similar technologies for sign-in sessions and security. We do not use advertising cookies.
Information from third parties:
- Google sign-in: if you sign in with Google, we receive your name, email address, and profile identifier from Google, per your Google permissions.
- Property data services: we may retrieve publicly available property information such as parcel and valuation data from providers like RentCast to enrich your property record.
- Mapping: address lookup and maps are provided by Google Maps, and your address queries are processed by Google under their terms.
2. How We Use Information
- Provide, maintain, and improve the Service, including storing, organizing, and displaying your property records.
- AI-assisted organization: we use artificial intelligence services (currently Google's Gemini models) to help classify and organize uploaded files, for example recognizing that a file is a floor plan or an appliance manual. File content may be processed by these AI services for this purpose. We do not permit our AI providers to use your content to train their models.
- Authenticate accounts and secure the Service.
- Respond to inquiries and provide support.
- Send service communications such as account notices and handover notifications. Marketing communications, if any, will include an unsubscribe option.
- Comply with legal obligations.
3. How Information Is Shared
We do not sell your personal information. We share it only:
- With people you choose. The core of Archive Owl is controlled sharing. Property records are visible to the owners, design professionals, and collaborators granted access to that property, according to the roles and permissions set on the account. When a home is sold or handed over, the record transfers only through the handover process initiated by the account owner.
- With service providers. Companies that host and process data on our behalf, under confidentiality obligations, including Amazon Web Services for hosting and storage, Google for sign-in, maps, and AI processing, and similar infrastructure providers.
- For legal reasons. If required by law, subpoena, or to protect the rights, safety, or property of Archive Owl, our users, or others.
- Business transfers. If Archive Owl is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, and this policy would continue to apply.
4. Data Storage and Security
Your data is stored on Amazon Web Services infrastructure in the United States. We use industry-standard safeguards including encryption in transit, access controls, multi-factor authentication for administrative access, and role-based permissions within the Service. No method of storage or transmission is fully secure, but we work to protect your information and will notify affected users of any breach as required by law.
5. Data Retention and Deletion
Property records are retained for as long as your account is active, because long-term preservation is the point of the Service. You may delete individual records or request deletion of your account and its data by contacting us at the address below. We may retain limited information as required by law or for legitimate business purposes such as billing records, and residual copies may persist in backups for a limited period before being purged.
6. Your Rights and Choices
- Access, correction, deletion. You can access and edit your records in the Service, and may request a copy or deletion of your personal information by contacting us.
- California residents. Under the CCPA/CPRA you have the right to know what personal information we collect, request its deletion, and not be discriminated against for exercising these rights. We do not sell or share personal information as those terms are defined in the CCPA. To exercise these rights, contact us at the address below.
- Google account. You can revoke Archive Owl's access to your Google account at any time in your Google security settings.
7. Children
The Service is intended for adults and is not directed to children under 18. We do not knowingly collect personal information from children.
8. Users Outside the United States
The Service is currently offered to users in the United States, and data is processed in the United States. If you use the Service from elsewhere, you understand your information will be transferred to and processed in the U.S.
9. Changes to This Policy
We may update this policy from time to time. We will post the updated version with a new effective date, and for material changes we will provide notice through the Service or by email.
